Our Odendaalsrus based client is seeking an Office Manager for a temporary assignment for 2- 3 months, with the possibility of going permanent, for the successful candidate.
The aim of the role is for the Office Manager to organise & coordinate administration duties and all office procedures. Your role is to create and maintain a pleasant work environment, whilst ensuring high levels of organisational effectiveness, communication & safety. Ultimately as Office Manager, you will be responsible for the smooth running of all company procedures and day-to-day operations.
Responsibilities will include: (but not limited to)
- Schedule meetings and appointments in the office
- Organise office operations and procedures
- Manage diary for Director
- Take minutes at meetings
- Organise the office layout and order office supplies such as food, stationery and equipment
- Maintain the office cleanliness & condition and arranging necessary repairs/ clean-ups
- Oversee IT & administrative systems & offer support for new sites (insurance, wifi, licensing, business rates)
- Oversee H&S at office
- Provide general admin support to managers
- Greet office guests
- Partner with HR to update and maintain office policies as necessary
- Oversee management of all manager laptops including set-up of systems & programmes, and provide support with onboarding process for new hires
- Responsible for payroll for direct report
- Manage contracts with office vendors, service providers and office lease (cleaning, plants, recycling, shredding etc)
- Manage office budget
- Organise quarterly company newsletter
- Liaise with facility management vendors, including cleaning, catering and security services
- Plan in-house or off-site activities, like events, parties, celebrations and conferences
- Be responsible for office security systems & keys
- Offer support with admin for company benefits & other HR projects
- Arrange company-wide travel and accommodation
- Support with adhoc projects e.g., Christmas Decorations
The ideal applicant:
- Previous experience as a Front Office Manager or Office Administrator required. A successful Office Manager should also have experience with a variety of office software (email tools, spreadsheets and databases) and be able to accurately handle administrative duties.
- Proficient user of Word, Excel, Outlook, Powerpoint
- Abilty to lead, multi-task and prioritise work to meet demanding timescales
- Knowledge of Office Administrator responsibilities, systems and procedures
- Hands on experience with office machines (e.g. printers)
- Familiarity with IT systems & H&S
- Excellent time management skills and ability to multi-task and prioritise work
- Attention to detail and problem-solving skills
- Excellent written and verbal communication skills
- Strong organizational and planning skills in a fast-paced environment
- A creative mind with an ability to suggest improvements
- Previous management experience
- Demonstrated ability to work in a team environment with multiple different stakeholders, implementing and leading a variety of different initiatives.
Hours: 9am to 5pm – Monday to Friday
